Healdsburg Forever Communications & Operations Manager (Part-Time, Independent Contractor)

The Healdsburg Forever Communications & Operations Manager is a part-time, independent contractor role that supports the organization’s day-to-day communications, donor tracking, and board operations. This position helps connect Healdsburg Forever’s volunteer Board with community partners, donors, and grantees through clear communication, thoughtful storytelling, and well-organized records.

Working closely with Board members and committee leads, the Liaison helps keep the organization running smoothly, visible in the community, and responsive to supporters, while supporting fundraising and community engagement efforts.

Key Responsibilities

Communications & Storytelling

  • Draft and schedule newsletters, donor updates, and email communications using Constant Contact

  • Draft blog posts and short impact stories highlighting grantees, donors, and community outcomes

  • Maintain and update website content to ensure information is current, accurate, and engaging

  • Support the creation of basic print and digital materials as needed, including flyers, announcements, and simple graphics, with support from easy-to-use design tools

Social Media & Digital Presence

  • Manage Healdsburg Forever’s social media channels (Facebook, Instagram, LinkedIn)

  • Draft and post consistent, mission-centered content including grantee stories, fundraising updates, and community news

  • Monitor messages and comments and route inquiries as appropriate

Donor & Fundraising Support

  • Track donations and maintain accurate donor records in DonorPerfect

  • Ensure timely acknowledgments are sent for all gifts

  • Support fundraising campaigns by drafting messaging, coordinating communication schedules, and assisting with donor outreach materials

  • Work with Board members as needed to support donor follow-up and stewardship efforts

Board & Administrative Support

  • Attend Board Meetings, take minutes and distribute the draft in a timely manner

  • Track basic action items and follow-ups from Board meetings

  • Maintain board rosters and shared documents

  • Manage organizational email inbox and route inquiries appropriately, including grant making requests

  • Assist Board and Committee Chairs with scheduling meetings

Grants Committee Support

  • Compile and finalize grantee reports with committee liaisons

  • Align grant schedules with CFSC

  • Support spring grants presentations as needed

Organizational & Systems Support

  • Maintain organized digital files including photos, communications, meeting minutes, and reports

  • Keep basic calendars and communication timelines updated

  • Coordinate with the Community Foundation of Sonoma County as needed for administrative and donation-related matters

Position Details

  • Status: Part-time, Independent Contractor (contract position; no employee benefits provided)

  • Schedule: Flexible hours, with some evening availability 

  • Reports to: Healdsburg Forever Board (or designated Board liaison)

  • Location: Hybrid / remote with some local, in-person meetings preferred

Ideal Candidate

  • Strong written and verbal communication skills and attention to detail

  • Comfortable managing multiple small projects and deadlines

  • Experience with social media, email marketing, and basic website updates

  • Familiarity with donor databases or willingness to learn

  • Interest in community impact, local nonprofits, and relationship-based work 

  • Prior experience in communications, administrative support or related fields preferred
